Response Point Assistant

 

Included with the Response Point software is a user application called Assistant. With this application, the user can make calls, access settings, import contacts and specify their voice mail greeting. The Assistant also allows the user to view the status of their colleagues – available, busy or offline. Double clicking the name will place a call either to an internal extension or an external number, such as a contact’s mobile phone.

 

Contacts

Contacts can be manually entered or imported from Outlook. The user can select to import all contacts, or pick and choose which ones to import by simply checking the box next the name.

Speech Recognition

As well as making it easier to call people, Assistant also helps when somebody is calling you. Response Point includes a speech recognition system so that people who want to call you do not have to know your extension number. When they call your business, they can just say your name. Of course, different callers will say people’s name differently. Some may be on a friendly first-name basis, while others may say the full name. Some callers may be more formal and include a title; and many callers will use a nickname. You can make it easier for people to call you by including a variety of names in the Assistant’s identification settings. For example, the user’s name is Diane, but her nickname is ‘Di’ and a few people refer to her as ‘doctor.’ By entering this extra information, callers can ask for ‘Di,’ ‘Diane,’ ‘Diane Margheim,’ ‘Doctor Margheim,’ and so forth.

 

Call Notification

Another way Response Point helps is by displaying a notification window to tell you about the person who’s calling. If the call is from one of your Outlook contacts, you can click on the notification window to open the contact in Outlook. You can customize how you want these notification windows to work. By default, Assistant will display the notification and play a sound (optional) for every call you receive. The notification window can display the Caller ID, or, if you imported contacts from Outlook, you could have Assistant display their name when they call.

 

Voice Mail to E-mail Forwarding

If you are not available to take the call, then the caller can leave a message in the voicemail system included with Response Point. Messages can be retrieved from any telephone, but you can also configure Response Point to send voicemails to your e-mail address so you can listen to them from your e-mail client. The message is received in an email as an attached .wav file.
